Agenus is looking for an efficient, organized, and resourceful Facilities Coordinator to support the day to day activities of the Facilities department.  The candidate must be highly adaptive to frequent evolving priorities in a fast-paced environment.  Strong decision-making skills, verbal, and written communication skills and attention to detail are critical as well as maintaining a high level of confidentiality.  The ability to prioritize multiple tasks, handle a heavy work load well under pressure, and work independently with strong follow-through skills are a must for this team oriented candidate.


  • Reports to the Facilities Services Manager, assists in the daily operation of Facilities services, Facilities Maintenance, EH&S, Laboratory Operations and Facilities purchasing.
  • Assist with property lease administration / management, landlord and contractor coordination, service notifications, janitorial contract supervision and general day to day requirements in support of the business needs.     
  • Coordinate all activities related to the scheduling of GMP & Non-GMP preventative maintenance, on demand work orders, scheduled calibration and asset management within the enterprise CMMS system. Run weekly, monthly and quarterly reports to establish KPI’s and ensure all work orders are properly tracked and recorded in a timely manner.
  • Maintain accurate vendor contact information and Contract, Service agreement listing. Facilitate processing of Service contracts, maintaining and organizing legal agreements, creation of purchase requisitions and tracking invoices for payment and accurate budget reporting.
  • Manage fleet vehicles’ calendars, scheduled maintenance.
  • Assist with space allocation, onboarding, moves adds and changes, conference room set up.
  • Assist with Security badge activation, deactivation, and access issues
  • Assist in ordering of Facilities parts and materials, maintain inventory, breakroom amenities and replenish kitchens as needed.
  • Ad hoc projects, as assigned
  • Maintain upkeep of electronic and physical logbooks


  • At least 2-3 years of experience as a Facilities Coordinator (preferred)
  • Bachelor’s degree required
  • Mandatory valid driver’s license
  • Self-motivated, confident, energetic, and flexible
  • Ability to multi-task, research and resolve customer/vendor issues
  • Microsoft Office proficiency is a must (Excel, Word, PowerPoint) skills working in Web based management systems
  • Clear and concise communication skills, both written and verbal
  • Excellent organizational skills
  • Ability to adequately perform required job functions including being able to lift a minimum of 30 pounds, bend and move in such a way as to perform job tasks in a safe and approved mannerMust be able to work 40 hours a week; Monday thru Friday
  • Understanding of basic technical aspects of property (Real Estate, HVAC, Mechanical & Electrical system, and BMS system) is a plus
